I think email marketing is much less effective than it used to be. Spam email has become to prevalent, and email users have found other ways to communicate. Nonetheless, it still helps to get the email address of users.

Make sure you let them opt-in. Don’t just go around buying email addresses and sending emails to people who did not agree to get them. Also, make sure you include a way for the recipients to unsubscribe. Taking those two steps will make sure your emails are not considered spam.

I find it better not to send out too many emails. I know personally that I start to ignore email lists that send me a bunch of emails with offers. However, if an email list sends me useful emails every now and then, I will pay more attention to them. If one of the emails includes an offer, I am more likely to consider the offer.

There are a few ways to turn your blogs RSS feed into an email subscription. I use that on my other two most major blogs. (I don’t use it on this one because webmasters almost always use RSS.) Collecting emails can be very helpful. You can use email newsletters to get old traffic back to your website. If you have a big enough email list, you can use it to market relevant products.

Because of enormous spam email flooding the inboxes, subscribers are losing sense to differentiate between legit or spam email. They tend to click on ‘Mark as Spam’ button so often.

So you, as a legit email marketer follow some priciples that keeps you in a position to defend yourself:

1. Strict opt-in list : Yes… strict. The mailing list softwre should be configured for double opt-in. The subscriber has to confirm his subscription by clicking on a link.

I also recommend once in a while sweeping out of the bad email addresses to keep server resources in limit.

2. Get subscribers details : Your software should capable of recording details like ip of the subscriber, date and time, url of subscription form. This way you can keep a record of subscriptions.

You can keep these details in every email, so your subscriber knows that you are not sending spam. Less chances of hitting spam button.

3. Keep unsubscribe link in every out going email : Give your subscriber a chance to remove himself from your list. Afterall, you don’t want your ip/website to be banned by ISPs. Right?

State clearly to unsubscribe using the same email address if he is going for email unsubscription.

4. Display your physical address in the emails : Let your subscriber know that you are not a fake. Either your business or personal address. Phone number is your option. Some people prefer to publish their phone numbers but some don’t.

5. Don’t put misleading information : In subject of the emails or in displaying links in the messages don’t mislead them. Give an idea for the subscriber on what he is going view once he opens your email or click a link. For example, don’t keep link like ‘Get free software’ and link it to a MLM site.

6. Keep an abuse/spam complaint form on your web site : Keep an email or a form to send you spam or abuse complaints. Take these emails seriously. If it is a complaint by mistake, try to contact the person to explain that your list is compliant with antispam rules. Keep a privacy/antispam policy on your website and make sure you follow it!

7. Set up SPF record : You host can help you with this. SPF records indicate which mail servers are permitted to send email with a particular ‘From’ email address. Email clients like AOL, Hotmail etc. check the spf record of the email originating domain. Example - If you send email from yourdomain.com with ‘webmaster AT anotherdomain.com’ it will be rejected as email client think, you are a spammer. So always use the same email in ‘From’ address from which the email is going.

An autoresponder is simply a program that automatically responds to an incoming email. It can be programmed to respond with a single email or with a series of emails. Usually it will respond immediately to the first email and then followup with a pre-programmed series of emails over a certain interval of time such as once every day, every other day, or every week. For Newsletters, it can be programmed to send out once every month.

In the early days of the internet, we had to manually respond to every email. Because of the nature of the internet and life, people are impatient and want what they want when they want it. As a result autoresponders were created. Now when a customer sends an email to a company, an autoresponder sends a reply back stating that they received the email and will email back shortly. Writing emails has become a regular routine for millions around the world. It is a common, easy, cheap and practical way to communicate, particularly for business communication.

But whilst writing an ordinary email may be easy, creating a professionally constructed electronic message requires a bit more attention. Do you rate yourself as an effective and professional email writer? Following are some guidelines to assist you construct more professional emails.

Subject Line

The starting point of a good email is the subject line. In a common office, people may receive dozens of emails a day: eZines, notifications, SPAM, personal messages and work-related content.

Within the work-related context, it’s common that emails get rated according to the sender (whether it’s from a boss or a subordinate, for example) and the subject line. Emails that have generic and uninteresting subject lines will likely be the last to be opened and/or replied, or simply deleted.

To write an effective subject line, you need to communicate the importance of the email from the receivers perspective (not what’s important to you). The reader should be able to quickly acknowledge what it’s about and how he or she will respond. Avoid vague subject lines. Also avoid writing offensive content or using exclamation marks on subject lines as they may be blocked by email filters.

Strucuture and Formatting

If you are sending an email with multiple messages or perspectives, you must think about how you will structure them. Most people read emails quickly and may reply to them without reading all the content.

To avoid points being missed, make sure the structure of your email is concise, allowing your reader to easily see what they need to before they click “reply” or simply close the message. A strong leading topic sentence or introduction will often overcome this problem.

Language and Intention

Keep your language readable from both semantic and formatting perspectives. Use standard spelling and capitalization, avoid all-caps (”online, all-caps means shouting”) and avoid jargon.

Be personal. If you are writing to a person or company, identify the name of the receiver(s) and direct the message to them. Many people have an aversion to receiving impersonal “To Whom It May Concern” messages, particularly if it’s sent with a commercial objective.

Be kind. Avoid being aggressive or using excessive criticism. If you are feeling emotional, take a break and write later. With the ease of writing emails, many people get carried away in a message when they are frustrated or emotional - only to regret it later.

Be formal. Using a “smilie” face or abbreviations such as “LOL” is not deemed appropriate in a professional email. Your level of formality will depend on the context of the message and the person receiving it: write accordingly.

Attachments

Only attach documents to emails if it’s strictly necessary. Attachments can be nuisances in messages. They not only increase the likelihood of a virus coming with the email; but also require more download time and take up space on other people’s computers.

If you can simply copy and paste the content of the attachment with the regular email message, use this option. Bear in mind that emails with attachment can also be blocked by SPAM filters.

Sending Rules

This is the ABC of professional emailing. When sending a message to large groups, use the “BCC” function instead of “CC” so that receivers are not be able to view other people’s email addresses.

This is particularly important when sending mailouts with personalised mail merged messages (when you want your reader to have the impression this email was tailored and send only to him or her).

Avoid the “reply all” function. Many people have got into major problems simply because they have failed to observe this. One click can have dire consequences.

Finally, avoid taking too long before replying to an email; especially if the message was in an urgent tone. If you are unable to attend to the message anytime soon, you can write a courteous message such as “I am busy at the moment, but I will reply as soon as possible.”
